Booking Zoom meetings with your agent
Connect Zoom and your agent can set up video meetings for callers without you lifting a finger: it books a Zoom meeting while the caller is still on the line, finds an existing one when they call back, moves it to a new time, or cancels it — and the caller is emailed the join link with a calendar invitation, so nobody has to read a meeting link over the phone.
Before you start: you need a Vocarium account and a Zoom account you can sign in to — connecting means signing in at Zoom and approving the access it asks you for on Zoom's own consent screen.
What your agent can do
Book a meeting. The agent agrees on a time with the caller, confirms before booking, creates the meeting on your Zoom account, and adds the caller as an invitee. We then email the caller the invitation with the join link and a calendar file, and email you a copy so the meeting lands on your calendar too.
Find a meeting. When a caller rings back about an existing meeting, the agent looks it up by their name or the day it is on.
Reschedule. The agent moves the meeting to the newly agreed time. The caller is emailed the new details when the agent has their email address, and you always get a copy.
Cancel. After confirming with the caller, the agent cancels the meeting. The caller is emailed a cancellation when the agent has their email address, and you get a copy.
Every operation that changes your calendar asks the caller to confirm first, and each one is recorded in your call log.
Connecting your Zoom account
Go to Actions & Integration and find the Zoom card.
Press Connect. You are sent to Zoom to sign in with the account your meetings should be created on, and to approve the access.
Zoom returns you to the dashboard. Choose the time zone meetings should be created in and a default meeting length.
Switch on the operations you want the agent to have. You can enable booking without enabling cancellation, or any other mix.
There is nothing to paste and no app to build — it is the same one-click sign-in as Google Calendar.
What we can access
Only the meetings on the account you sign in with, and that user's basic profile — name, email and default time zone, so meetings land at the right local time. We cannot see your recordings, chat, or contacts. You can withdraw access at any time from Zoom's own Connected apps page, and disconnecting from the dashboard revokes our access at Zoom immediately.
Disconnecting Zoom
You can end the connection from either side, and either one is enough.
From the Vocarium dashboard:
Open Actions & Integration.
Find the Zoom card.
Press Disconnect. Our access is revoked with Zoom there and then, and the agent's Zoom operations stop — it can no longer book, move or cancel anything.
From Zoom:
Go to zoom.us and sign in.
Open the App Marketplace, then Manage → Added Apps — or go straight to marketplace.zoom.us/user/installed.
Find Vocarium in the list and press Remove.
Removing the app at Zoom also disconnects the integration in Vocarium automatically; there is nothing left to tidy up in the dashboard afterwards.
What happens to your data when you disconnect
The Zoom access tokens we hold for your account are revoked and deleted immediately, and the agent can no longer create, change or cancel meetings. Meetings that have already been created stay exactly where they are on your Zoom calendar — disconnecting cancels nothing and tells nobody. The transcripts and call logs of the calls those bookings came from stay in your Vocarium account under the normal retention described in our Privacy Policy.
Good to know
The invitation and cancellation emails come from Vocarium, not from Zoom. Zoom itself emails nobody about meetings created this way — not the caller, and not you. Our emails carry the join link and a calendar file; if a caller says nothing arrived, ask them to check spam and confirm the email address the agent read back.
The agent asks for the caller's email address and reads it back before booking — that address is where the join link goes. For a change or a cancellation the agent asks for it again if it does not already have it.
The meeting appears on your Zoom account under Meetings straight away. It reaches your Google or Outlook calendar through the invitation we email you — open the attachment to add it.
The default meeting length applies whenever the caller doesn't ask for a specific duration.
Troubleshooting
The card says the connection has expired, or bookings start failing. Press Disconnect on the Zoom card in Actions & Integration and connect again — signing in afresh replaces the credentials and the agent picks up where it left off.
A caller says the invitation never arrived. Ask them to check spam and confirm the address the agent read back; the email comes from Vocarium, with the join link in it.
The meeting is not on your calendar. Zoom does not put meetings created this way on a calendar. Look under Meetings on zoom.us, or open the invitation we emailed you and add it from there.
