Connecting Google Calendar
Connect Google Calendar and your agent offers callers your free slots and puts the meeting straight into your calendar — the caller gets an ordinary Google invitation by email, and the event is on your phone before the call has ended. When they ring back, the agent can find that booking, move it, or cancel it.
What your agent can do
- Check availability. Google has no notion of bookable slots, so the agent reads your free and busy time and offers openings inside your working hours, cut to the appointment length you set. Anything already on the calendar blocks its slot — it never double-books over an existing event.
- Add to the calendar. With the caller's name and email address, read back and confirmed first. The event is created and Google emails them the invitation.
- Find a booking. When a caller rings back about an appointment, the agent asks for the email address they booked with and looks it up. It only ever finds bookings it made itself — nothing else on your calendar is read.
- Move a booking. The agent checks the new time is free, moves the appointment, keeping its length, and Google emails the caller the new details. Confirmed with the caller first.
- Cancel a booking. After the caller has clearly asked for it and confirmed, the agent removes the event and Google emails them the cancellation.
Every operation that changes your calendar asks the caller to confirm first, and each one is recorded in your call log. Switch on only the ones you want — booking without cancelling is a perfectly good mix.
Connecting your Google account
- Open Actions & Integration and press Connect on the Google Calendar card, then sign in with Google and approve the access. Nothing to paste.
- Choose which calendar the agent reads and writes — your main calendar by default.
- Set your working hours and the appointment length. Slots are only ever offered inside that window, and times are read to callers in the calendar's time zone until you pick a different one here.
What we can access
Three things, and nothing more: the names of your calendars, so you can pick one; your free and busy times on that calendar, so the agent can offer openings — it sees when you are busy, never what with; and the events the agent itself creates, which it can move or cancel. It never reads, moves or cancels an appointment it did not book, and it never touches a calendar shared with you by somebody else. You can withdraw access at any time from your Google account's Third-party apps & services page, and disconnecting from the dashboard revokes our access at Google immediately.
Good to know
- The invitation, the new details after a move, and the cancellation are all ordinary Google Calendar emails, sent by Google to the address the agent read back. If a caller says nothing arrived, ask them to check spam.
- To move or cancel, the agent needs the email address the caller booked with — that is how it finds the right appointment.
- Disconnecting cancels nothing and tells nobody: every event already on your calendar stays exactly where it is.
