Sending email from your own address

Connect a mailbox and the agent can put things in writing — a confirmation, an address, a quote, anything the caller asks to have sent over — from your own email address, so what lands in their inbox says your business name and not ours.

This card asks for your mail server's details. If you would rather not deal with those, there are five other cards that do exactly the same job with a key you copy from that service instead — each with an article of its own: Sending email through Brevo, Sending email through Mailchimp Transactional, Sending email through SendGrid, Sending email through Postmark, and Sending email through Resend.

Connecting your mailbox

  1. Open Actions & Integration and press Connect on the Email card.
  2. Fill in your provider's outgoing-mail details: the SMTP host (for example smtp.gmail.com), the port — almost always 587 — the username you sign in with, and the address the email should come from.
  3. The password is the mailbox's — an app password if your provider uses those, which Gmail and Outlook do. We sign in once to check it works before anything is stored, so a wrong password is found out while you are still looking at the dialog. It is kept encrypted and never shown again.

How the agent uses it

When a caller asks for something in writing, the agent takes their email address, reads it back, and confirms before sending — no email ever leaves without the caller having heard the address out loud first.

Good to know

  • Emails cost nothing here. They travel on your own mail account, so nothing is metered and nothing is charged to your balance.
  • Caller-verification codes can come from your address too. There is a switch for it in the connection settings; while it is off, codes go out from the Vocarium platform address.
  • One email connection at a time. This card and the five key-based ones all answer the same question — which address does this business write from — so only one of the six can be connected. Connecting another asks you to disconnect this one first.
