Connecting Calendly
Connect Calendly and your agent books callers into your calendar the way your booking page does: it reads your real availability, offers times, and books the one the caller picks while they are still on the line. When somebody rings back, it finds their booking and can cancel it — and for callers who would rather choose a time themselves, it texts them your booking link.
What your agent can do
- Check availability. Open times for the meeting type you chose, up to a week ahead.
- Book a meeting. With the caller's name and email address, read back and confirmed before anything is created. Calendly sends the invitation itself. Booking through software is something Calendly sells on its paid plans — see below.
- Find a booking. Looked up by the email address the caller booked with.
- Cancel a booking. Only one the agent has found, only when the caller clearly asks, and confirmed first — it cannot be undone.
- Text the booking link. Sent to the phone the caller is on, once they agree to receive it, and charged like any text.
Connecting your Calendly account
- Open Actions & Integration and press Connect on the Calendly card, then sign in at Calendly and approve the access. Nothing to paste.
- Choose which of your Calendly meeting types the agent works with. Times are read to callers in your Calendly profile's time zone until you pick a different one here.
- Switch on the operations you want, and enable them on each agent that should use them.
Good to know
- On a free Calendly plan, leave booking off and use the booking-link text instead. Calendly only lets software create bookings on its paid plans, which is why booking is not switched on for you automatically — an agent that offers to book and then can't is worse than one that texts the link.
- Invitations, reminders and cancellation notices all come from Calendly, exactly as if the caller had booked on your page.
